A realistic breakdown of Salesforce costs in 2026: licenses under the new editions, implementation ranges, hidden costs and how to keep the budget under control.

Key takeaways

  • Total cost has three parts: licenses, implementation and ongoing support. Budget for all three.
  • Under the 2026 editions, Core lists at $195 per user per month, so licenses for 20 users come to about $46,800 a year at list price.
  • Implementation for small and mid-size businesses typically ranges from a few thousand dollars to well over $100,000, depending on scope.
  • Data migration, integrations and change requests are the most common sources of budget overruns.

“How much will Salesforce cost?” is the first question almost every client asks us, and the honest answer is that it depends. But it depends on a small number of factors you can understand and control. This guide breaks the cost down into its parts with realistic ranges.

Part 1: licenses

Salesforce charges per user per month, usually billed annually. Since September 2026, the main editions for new customers are listed at the following US prices for Sales Cloud and Service Cloud:

EditionList price per user/monthAnnual cost for 10 usersAnnual cost for 20 users
Starter Suite$25$3,000$6,000
Pro Suite$100$12,000$24,000
Core$195$23,400$46,800
Advanced$395$47,400$94,800
Max$550$66,000$132,000

Many businesses mix license types, for example full licenses for sales and service users and cheaper platform or Experience Cloud licenses for others. Discounts are common for larger commitments, so treat list prices as a ceiling for planning.

Part 2: implementation

Implementation covers discovery, design, configuration, customization, data migration, integrations, testing and training. Typical ranges we see for small and mid-size businesses are:

Project typeTypical scopeTypical range
Quick startOne cloud, standard processes, a few users, light data import$3,000 to $15,000
Standard implementationSales or Service Cloud, custom fields and automation, data migration, one or two integrations$15,000 to $75,000
Complex implementationSeveral clouds or departments, custom development, multiple integrations, complex migration$75,000 to $250,000+

These ranges are our estimates based on typical projects, not quotes. Your cost depends on requirements, data quality, integrations and the partner you choose.

What drives implementation cost

  • Number of processes and departments brought onto Salesforce.
  • Data migration: number of sources, volume, history and how clean the data is.
  • Integrations with ERP, billing, telephony, marketing or payment systems.
  • Custom development: Apex, Lightning components and portals.
  • Compliance requirements such as HIPAA, which add design and testing effort.
  • Training and change management for users.

Part 3: ongoing costs

  • Administration and support, from part-time help to a full-time admin or managed services.
  • Continued development as processes change.
  • AppExchange apps, which are usually priced per user or per org.
  • Extra data or file storage beyond your allowance.
  • Additional sandboxes, such as full-copy sandboxes for testing with production data.
  • AI consumption beyond the Flex Credits included in your edition.

A worked example

Consider a 20-user services company moving from spreadsheets to Sales Cloud Core, with data migration and one accounting integration. At list price, licenses are about $46,800 a year. A standard implementation might fall between $25,000 and $50,000, and part-time admin support between $2,000 and $3,000 a month. The first-year investment is therefore roughly $95,000 to $135,000, with later years dominated by licenses and support.

How to keep the budget under control

  1. Start with a focused first phase and add departments or features later.
  2. Clean your data before migration, which is cheaper than fixing it afterwards.
  3. Use standard features first and customize only where it adds clear value.
  4. Right-size licenses: not every user needs the top edition.
  5. Agree scope, assumptions and change control with your partner before work starts.
  6. Check what your edition already includes, such as Slack, Tableau or success plans, before buying add-ons.

Frequently asked questions

What is the cheapest way to start with Salesforce?

Starter Suite at $25 per user per month, with a small, focused setup, is the lowest-cost way to start. Many businesses move to higher editions as their needs grow.

How long does a Salesforce implementation take?

Quick starts can take a few weeks. Standard implementations commonly take two to four months, and complex programs longer.

Can we negotiate Salesforce license prices?

Discounts are common, especially for multi-year terms, larger user counts and bundles. Prepare by knowing exactly which features you need.
