Hiring a Salesforce Partner: Freelancer vs Agency vs Remote Team

Freelancer, large consultancy or dedicated remote team? How to choose the right Salesforce partner, and how to check their experience before you sign.

Illustration for Hiring a Salesforce Partner: Freelancer vs Agency vs Remote Team

Key takeaways

  • Freelancers suit small, well-defined tasks; agencies suit large, multi-team programs; dedicated remote teams suit ongoing work at a sensible cost.
  • Continuity matters. The person who understands your org is worth more than a lower hourly rate.
  • Verify certifications through Salesforce’s official credential verification and ask for references you can call.
  • Agree how work is scoped, tested, documented and handed over before any work starts.

Salesforce projects succeed or fail on the people doing the work. The same requirement can take a strong consultant two days and a weak one two weeks, and leave behind either clean configuration or technical debt. Choosing the right kind of partner is one of the most important decisions you will make.

Freelancers

A good freelancer can be excellent for a focused piece of work: a set of flows, a report pack, a small integration. The risks are availability and breadth. If they are busy, ill or take a full-time job, your project stops, and one person rarely covers architecture, development, integration and administration equally well.

Large agencies

Large consultancies bring broad expertise, formal methodology and the capacity to run big programs across several clouds. They are often the right choice for enterprise-wide transformations. For small and mid-size businesses, the cost can be hard to justify, and day-to-day work is often handled by junior staff rather than the senior people met during the sales process.

Dedicated remote teams

A dedicated remote team gives you a consistent group of people, typically an architect or lead, developers and an administrator, who learn your org and business over time. Remote-first teams can offer senior expertise at lower cost than large agencies, with more continuity than freelancers. Overlapping working hours and clear communication are what make this model work well.

How to vet any Salesforce partner

  • Verify certifications. Salesforce provides an official credential verification tool, and Trailblazer profiles show certifications and experience.
  • Ask for relevant examples. Look for work in your industry or on the clouds and integrations you need, ideally with demos.
  • Call references. Ask previous clients about communication, quality and what happened when something went wrong.
  • Check the partner listing. Salesforce partners appear on the AppExchange consultant directory with their tier, specializations and reviews.
  • Ask how they work. How do they scope, estimate, test, deploy and document? Do they use sandboxes and version control?
  • Meet the people who will do the work. Not only the sales team.

Red flags

  • Agreeing to every requirement without questions or alternatives.
  • Building directly in production without sandboxes or testing.
  • Vague estimates with no assumptions or exclusions.
  • No documentation or handover plan.
  • Reluctance to give you full admin access and ownership of your own org.

Set the engagement up for success

Whichever model you choose, agree on scope, communication rhythm, acceptance criteria and handover from the start. Keep ownership of your org, credentials and documentation in your own hands, so you can change partners if you ever need to.

Frequently asked questions

How much does a Salesforce consultant cost?

Rates vary widely by region, seniority and model. Freelancers usually charge the least per hour, large agencies the most, and dedicated remote teams sit in between.

Should our Salesforce partner be a certified Salesforce partner?

Partner status shows commitment to the ecosystem, but individual certifications, relevant experience and references matter more for the quality of your project.

Can a remote team work in our time zone?

Many remote teams arrange working hours that overlap with their clients’ business day. Agree on overlap hours and response times up front.
