HubSpot Workflows vs Salesforce Flow: Automation Compared

How HubSpot workflows and Salesforce Flow compare for automating sales, marketing and service processes, and which suits your team.

Key takeaways

  • HubSpot workflows are quick for marketers and sales teams to build, especially for nurturing, notifications and property updates.
  • Salesforce Flow is more powerful for complex logic, custom data models, screens and system-level automation.
  • Both need governance: naming, documentation and testing prevent tangled automation.
  • When both CRMs are connected, decide which system owns each automation to avoid loops.

Automation is one of the main reasons businesses invest in a CRM. HubSpot and Salesforce both offer visual automation builders, but they are designed with different users and depths in mind. If you are choosing a CRM, or running both, understanding the difference helps.

HubSpot workflows

HubSpot workflows are available in HubSpot’s Professional and Enterprise tiers. They automate actions based on triggers such as form submissions, property changes or list membership: sending emails, updating properties, creating tasks, rotating leads, or calling webhooks. The builder is approachable for non-technical users and closely tied to HubSpot’s marketing tools.

Salesforce Flow

Salesforce Flow is the platform’s main automation tool. It runs record-triggered automation before or after saves, scheduled jobs, platform event handling, guided screen flows for users and invocable logic for other tools. It can work across any standard or custom object, call Apex and external services, and handle complex branching and loops.

Where each shines

  • HubSpot: lead nurturing, email sequences, lifecycle stage updates, lead rotation and marketing-driven notifications.
  • Salesforce Flow: multi-object business processes, approvals, guided data entry, integrations and logic tied to complex data models.

Running both

Many companies use HubSpot for marketing and Salesforce for sales and service, connected by HubSpot’s Salesforce integration. Automation can then fire in both systems on the same records. Decide which system owns each process, for example lifecycle stage in HubSpot and opportunity stage in Salesforce, and avoid automations that update a synced field in both systems, which can cause loops and confusion.

Governance for either tool

  • Use clear naming conventions that describe trigger and purpose.
  • Document each automation’s owner and business reason.
  • Test changes before activating, especially on large record sets.
  • Review automation quarterly and retire what is no longer used.

A worked example: lead hand-off

A company runs marketing in HubSpot and sales in Salesforce. A HubSpot workflow nurtures new leads and, when a lead reaches the agreed score, sets its lifecycle stage to marketing-qualified. The integration syncs the lead to Salesforce, where a record-triggered flow assigns it to the right rep by territory, creates a follow-up task due within hours and notifies the rep. HubSpot owns nurturing; Salesforce owns sales process. Neither system tries to do the other’s job.

Signs automation is out of control

  • Fields that change unexpectedly and nobody knows why.
  • Duplicate emails or tasks from overlapping automations.
  • Sync conflicts between HubSpot and Salesforce on the same fields.
  • Automations named “Test” or “Copy of” still active.

Frequently asked questions

Which is easier to learn?

HubSpot workflows are generally easier for business users. Salesforce Flow takes more learning but handles much more complex processes.

Can HubSpot workflows update Salesforce?

Through the HubSpot–Salesforce integration, property changes can sync to Salesforce, and workflows can trigger based on synced data.

Should we move automation from HubSpot to Salesforce?

Move processes that are complex, multi-object or sales and service owned. Marketing nurture often fits well in HubSpot.
